Resignation letter format (India)
Four lines and an exact last working day. A letter you can send, what to leave out of it, and the five documents to collect before your badge stops working — relieving letter to PF UAN.

A resignation letter is a dated record, not a farewell. Four lines: you are resigning, the role, your last working day, and an offer to hand over. Everything else you want to say belongs in the conversation you have before you send it.
The letter matters in India specifically because it starts the clock on the notice period, and the notice period is what your relieving letter and full-and-final settlement depend on. Get the date right and the rest is formality.
Tell your manager first
In person or on a call, before the letter lands. A manager who finds out from an email or from HR is a manager whose goodwill you have spent, and you may need that goodwill for an early release, a reference, or a rehire eligibility flag two years from now.
The letter goes out the same day, after the conversation, so the date on it is honest.
The letter

Dear Priya,
I am writing to formally resign from my position as Backend Engineer at Acme Payments. As per my notice period of 60 days, my last working day will be 21 October 2026.
I am glad to help with a full handover and with training whoever takes this on. Thank you for the opportunity and for your support over the last three years.

Copy HR. Keep the sent email — that timestamp is your proof of when notice was served, and it is the document that settles a dispute about your last working day.
The four things it must contain
- The word “resign”. Not “moving on”, not “stepping away”. It is a legal notice.
- Your exact last working day, as a date. Not “after 60 days”. Count it and write it, and check whether your contract counts calendar days or working days — they differ by nearly three weeks on a 60-day notice.
- Your role and employee ID. HR processes this against a record.
- An offer to hand over. One line. It is what buys you a clean exit.
What to leave out
- Your reason. You are not required to give one and it cannot help you. “Personal reasons” if you want a phrase; nothing at all is also fine.
- Where you are going. Especially if it is a competitor, and especially before you have the relieving letter.
- Grievances. The exit interview is the place, and even there, restraint pays. This letter goes in a file that outlives everyone in the conversation.
- Requests. Early release, buyout, leave encashment — negotiate those separately. Putting them in the resignation makes the resignation look conditional, and it is not.
Notice period, buyout and early release
Sixty or ninety days is common in Indian offer letters and is longer than most other markets. Three things to know:
- Early release is a negotiation, not a right. Ask your manager, not HR, and ask with a handover plan in hand.
- A buyout clause is usually in your offer letter. Read the actual wording — some are calculated on basic pay, some on gross, and the difference is large.
- Get the release agreement in writing before you commit a joining date. A verbal “we’ll let you go early” that does not happen leaves you explaining a delay to your new employer.

Before your last day, collect these
- Relieving letter. The document your next employer asks for. Do not leave without it and do not accept “we’ll email it later” without a date.
- Experience letter. Confirms your title and dates. Separate from the relieving letter at most companies.
- Full-and-final settlement statement. Salary to date, leave encashment, gratuity if you crossed five years, minus any recoveries.
- Form 16 and payslips for the period, and your PF UAN details so the transfer to the next employer is a transfer and not a withdrawal.
Chase these while you still have a badge and people still reply to you. Two weeks after your last day is a different experience.
One thing people get wrong
Resigning before the new offer letter is signed and in your inbox. A verbal offer is not an offer, and background verification can still turn up a discrepancy on a date. Sign first, then resign.
